P&C Roles & Responsibilities

Since our launch in 2000, the team at Hunters Hill High School
P&C Association has worked tirelessly to promote our cause. We are fortunate to have volunteers and staff from all walks of life who bring their unique expertise and resources into everything we do. This is what enables us to achieve our goals year after year.

We work in close partnership with the school to achieve the best possible outcomes for students and other stakeholders in the school community. We also consult with the parent community, students, and school staff to identify the main needs of the school, and plan accordingly how best to meet those needs.
Some of the things we do to support the school include:

Operating the school canteen and uniform shop.
Providing equipment, resources and facilities to the school.
Applying for grants or fundraising to cover the costs of a project at the school.
Hosting events such as our Trivia Night and the annual Colour Run.
Running a school building fund.
Providing a parent representative on selection panels for vacant roles at the school.

While there is always more that can be done, there is no doubt that we are making a significant impact. We don’t measure our success through just facts and figures, but through happy faces and heartwarming feedback. Read on to see how you can become part of the difference.
What are the different P&C roles?
All roles of the P&C Committee are voluntary roles. Most people who serve on the Committee do so by giving up a part of their spare time.

The Executive consists of a President, a Treasurer, a Secretary, one or more Vice Presidents and Executive Members.
​
The Executive is supported by several Co-ordinators who help manage the various areas of the P&C, such as the Uniform Shop, the Canteen as well as Fundraising, Environment and Social Events.

It's a great way to get more involved in the school, and learn about what goes on and have a say in better outcomes for our students.
P&C Executive Roles
President
The primary tasks of the President are:
Chair all P&C meetings
Maintain the P&C Association’s objectives and consistent adherence to the Constitution
Ensure the P&C Association takes part in decision-making processes in the school
Foster fair participation of all members and ensure that all new members are made to feel welcome
Support volunteers
Be the P&C Association’s spokesperson when public statements or actions are needed
Set up lines of communication with the Principal
Act as a signatory on the P&C Association’s bank accounts
Oversee financial expenditure and position
Write posts on behalf of P&C for newsletter contribution

Time requirement: approximately 3 hours per week.
Vice President
The general tasks of the Vice President are:
Backup Chairperson
Support the President and perform any roles or tasks for which the President is unable
Support the Treasurer and Secretary in their roles
Act as an approver for bank account payments
Time requirement: approximately 3 hours per week.
Treasurer
The primary tasks of the Treasurer are:
Accounting for all funds and assets of the P&C
Ensuring compliance with financial accountability requirements, including financial records
Creation of the annual P&C budget
Maintenance of P&C bank accounts
Financial reporting at P&C meetings
Act as signatory to all P&C bank accounts
Taking payments for new membership or membership renewals
Organising the annual audit of accounts as required
Overseeing staff wages and entitlements
Working with the P&C bookkeeper

Time requirement: approximately 5 hours per week.
Secretary
The primary tasks of the Secretary are:
Announce notices of upcoming meetings
Prepare each meeting agenda in conjunction with the other Executive members
Take and publish minutes for all meetings
Maintain the P&C member register
Ensure all P&C staff, executive members, coordinators and volunteers have valid Working With Children Checks
Handling and tabling of any correspondence received.
Dealing with any administrative tasks related to meeting decisions
Maintaining the official records of the P&C Association, including the constitution, by-laws, rules, policies and procedures, ABN details, register of members and meeting attendance
Maintain and update the P&C website

Time requirement: approximately 3 hours per week.
Executive Member
The general tasks of the Executive Member are:
Take part in Executive meetings and decisions
Assist other Executive members and non-executive office bearers as required
Time requirement: approximately 2 hours per week.
P&C Coordinator and Volunteer Roles
Canteen Coordinator
The main tasks of the Canteen Coordinator are:
Regularly liaise with canteen manager on behalf of the P&C
Main point of contact for canteen queries between school and P&C
Prepare and publish brief reports prior to update P&C general members at each meeting
Oversee canteen operations and staff
Creating annual budget for canteen - this is not as daunting as it sounds

Time requirement: approximately 2 hours per week.
Uniform Shop Coordinator
The main tasks of the Uniform Shop Coordinator are:
Regularly liaise with uniform shop manager on behalf of the P&C
Main point of contact for uniform shop queries between school and P&C
Prepare and publish brief reports prior to update P&C general members at each meeting
Oversee uniform shop operations and staff
Creating annual budget for uniform shop - this is not as daunting as it sounds
Assist with organising uniform shop stocktake

Time requirement: approximately 2 hours per week.
Environment Coordinator
The main tasks of the Environment Coordinator are:
Main point of contact between school groundskeeper and P&C
Organise dates for working bees
Work with school groundskeeper to maintain school grounds
Prepare and publish brief reports prior to update P&C general members at each meeting
Fundraising & Events Coordinator
The main tasks of the Fundraising & Events Coordinator are:
Main point of contact for organising fundraisers and other events and between school and P&C
Liaise with school to confirm event dates
Creating annual budget for fundraising and events - this is not as daunting as it sounds
Organise group of helpers for each event
Provide income and expenditure report for each event
Coordinate with communications coordinator to promote event
Set up ticket sales
End of event summary
Prepare and publish brief reports prior to each P&C general meeting
Canteen Volunteer
Working with the Canteen Manager, the main duties of a Canteen Volunteer are:
Assist with the serving of food and distribution of lunch orders at recess and lunch time, each lasting 30 mins
Handling cash and card payments from students and school staff
Follow procedures and processes regarding food and workplace safety
Restocking fridges and freezers as directed by the Canteen Manager
Washing, drying and putting away equipment
Adhering to the policies of the canteen, including work health and safety and food handling procedures, as outlined by the Canteen Manager
Follow Department of Education requirements and directives with guidance from the Canteen Manager.
